Our Business Unit – Gourmet Department, additionally, has been an exclusive distributor of Malongo products (Coffee and Coffee machines) since 2021; in 2025, the department has expanded as a curated selection of fine wines and spirits distributor, offering a premium range of sustainable and ethically sourced products.
To pursue this development, Confluences is now actively looking for a new Sales Admin Officer for our gourmet department to expand its products and services in the Cambodian market.
Duties
A Sales Admin Officer for ensuring smooth sales operations and efficient logistics management of the Gourmet department through effective sales and administrative support of their needs.
This role involves processing sales orders, coordinating with suppliers and clients, managing inventory, and ensuring timely product deliveries.
The position requires strong organizational skills, attention to detail, and effective communication to support the sales team and enhance customer satisfaction. You'll also work closely with other departments across Confluences to ensure we take the right actions at every growth stage.
Responsibilities
Sales Administrator:
Prepare and manage quotations, invoices, and other sales-related documentation.
Draft and coordinate contracts, memos, and internal agreements across departments.
Perform reconciliation tasks, ensuring all balances and pending payments align with financial records.
Update sales details from shipments, machine transactions, and expenses provided by the finance team to ensure accurate revenue tracking.
Handle and oversee the processing of sales orders efficiently.
Coordinate with the Inventory Accountant to count and check stock levels and prepare stock reports to ensure stock levels meet operational needs.
Generate and present simplified monthly performance reports (e.g., KPIs, turnover, active clients, number of transactions per month, and new accounts).
Coordinate promotional activities by sending mass communications to customers and prospects via Telegram or email.
Determine profit margins by calculating the percentage difference between unit cost and VAT-excluded selling price, ensuring discounts maintain profitability.
Update monthly reports for stock forecasting and coordinate with the Project Coordinator on CRM tasks like contracts, sales, and client information.
Logistics Coordinator:
Ensure stock availability by managing communication with local suppliers and overseeing inventory.
Schedule delivery team rosters, manage their leaves, and handle parking, gas, and maintenance fees.
Arrange transportation and delivery schedules for orders.
Support in custom clearance administrator if required.
Address any delivery-related issues and communicate with customers for resolutions.
What We're Looking For:
Experience: Having experience in Sales support, customer service, invoice, and stock arrangement is a plus.
Education: Diploma/Bachelor’s degree in any Business Administrative, or related field.
